Privacy Policy
Who we are
Altrensa provides remote professional support and business improvement services. ALTRENSA LIMITED is the intended legal company name; incorporation in England and Wales is pending.
This policy explains how we collect and use personal information when you visit our website, contact us, book an introductory call or deal with us as a client or supplier.
For privacy enquiries or requests about your information, email hello@altrensa.co.uk or use our Contact page.
Information we collect
When you contact us through our website, we collect your name, email address, company name if you provide it, and the information you include about the help you need.
When you book an introductory call using Microsoft Bookings, we collect your name, email address, company name if you provide it, help request and appointment details. Microsoft Bookings may also process your time zone and technical information needed to operate its booking page.
We keep relevant correspondence and notes from our conversations. If you become a client or supplier, we also keep the business contact details, agreements and billing information needed to manage that relationship.
Our website and service providers may process technical information, including browser details, IP addresses and access logs, to deliver their services and maintain security.
Please don’t include passwords, sensitive personal information or confidential customer records in an initial enquiry.
How we use your information
We use your information to:
• Respond to enquiries and understand the support you need.
• Arrange calls, send confirmations and manage appointment changes.
• Prepare proposals and deliver agreed services.
• Manage client and supplier relationships.
• Maintain required records, resolve disputes and protect our systems.
We normally rely on legitimate interests when responding to business enquiries, arranging calls and managing business contact information. These interests are communicating with people who approach us, understanding their requirements and operating our business. We consider whether this use is necessary and reasonable, taking account of your rights.
Where you personally enter into a contract with us, including as a sole trader, we may use information where necessary to perform that contract or take steps you request before entering it. This basis does not automatically apply because you contact us on behalf of a company.
We rely on legal obligations where we must keep or disclose information to comply with the law.
Submitting an enquiry or arranging a call does not subscribe you to a newsletter.
Booking an introductory call
Our booking buttons take you to Microsoft Bookings, where you can choose an available time. Introductory calls are conducted using Microsoft Teams.
Microsoft Bookings handles the information needed to arrange your appointment, send confirmations and manage cancellation or rescheduling. Microsoft Teams handles the information needed to conduct the call. Microsoft’s Privacy Statement explains information these services use for Microsoft’s own purposes.
Booking is optional. You can also send an enquiry through our Contact page.
Who receives information
Our website and contact form use Framer. Microsoft Bookings provides appointment scheduling and Microsoft Teams provides online meetings. Enquiries are delivered to hello@altrensa.co.uk. These providers receive the information needed to provide their services.
We may also disclose relevant information to professional advisers, where required by law, or where necessary to establish or defend legal claims.
For initial remote professional sourcing, the role brief describes the skills, duties, hours and experience needed. Our policy requires your name, contact details, company identity and other identifying information to be removed rather than forwarding your original enquiry.
If a later service arrangement requires identifiable information to be shared with a delivery provider or professional, we explain the arrangement before that access begins.
We do not sell your personal information.
Information handled while delivering services
A remote professional or business improvement project may involve access to your business systems or information about your customers and staff.
That access is agreed separately as part of the service. Where we handle personal information on your behalf, the relevant service agreement and data processing terms set out instructions, permitted access, delivery providers and safeguards.
This website policy does not replace those arrangements.
International processing
Some service providers may store or access information outside the UK.
Framer’s Data Processing Addendum describes its international processing and transfer mechanisms, including the UK International Data Transfer Addendum where applicable. Microsoft describes its international processing in its Privacy Statement.
Where a service arrangement involves a restricted transfer, a permitted transfer arrangement is required, such as an applicable UK adequacy decision or approved contractual safeguards.
You can contact us for information about the safeguards relevant to your information.
How long we keep information
Our retention policy limits information to the period for which it is needed:
• Enquiries that do not become client relationships: normally up to 12 months after our last meaningful contact.
• Introductory call records: normally up to 12 months after the call or last related contact, unless they become part of an active client relationship.
• Client and supplier contact information: while the relationship continues, then only as needed for outstanding matters, record-keeping or legal claims.
• Contracts and accounting records: for the applicable statutory period, or as reasonably necessary to establish or defend legal claims.
Records that are no longer needed must be deleted or anonymised. Relevant records may be retained longer where a complaint, dispute or legal requirement makes this necessary.
Website analytics and cookies
Our website uses Framer’s built-in analytics to understand website traffic and which pages people visit. Framer states that this analytics service does not use cookies or persistent identifiers.
We do not use advertising pixels or marketing trackers under our current website setup.
Microsoft Bookings is hosted separately from this website and may use cookies or similar technologies under Microsoft’s privacy notices.
Protecting information
Our contact form asks for the information needed to respond to your enquiry. Please don’t include passwords, sensitive personal information or confidential customer records.
Framer describes the measures it uses to protect the website and form service in its Data Processing Addendum. Microsoft describes its handling of information in its Privacy Statement.
No online service can guarantee complete security.
Your rights
Depending on the circumstances, you can ask us to:
• Provide access to your personal information.
• Correct inaccurate or incomplete information.
• Delete information or restrict its use.
• Provide certain information in a portable format.
Your right to object: you can object to our use of your personal information based on legitimate interests. We will assess your request and explain our response.
If we rely on consent, you can withdraw it at any time without affecting the lawfulness of earlier use.
Use the contact details on our Contact page to exercise your rights. We may need to check your identity. We respond within the applicable legal time limits.
We do not make decisions about you based solely on automated processing that have legal or similarly significant effects.
Complaints
If you have concerns about how we use your information, please contact us.
You also have the right to complain to the UK Information Commissioner’s Office.
Changes to this policy
We update this policy when our services or information handling change. Where appropriate, we also notify affected people directly.
